Viewing Rooms in the Calendar in Ad Astra

Note: Ad Astra works best when used with the Internet Explorer browser when using a PC or with Firefox when using a Macintosh.

If you want to display the schedule (availability) for a specific room on the calendar in Ad Astra, follow the steps below.

For one-time use or if you are viewing as a guest, you can quickly display a specific room with these steps.  When doing so, you are not setting a filter, and you would need to do this each time.

1. Click the Calendars tab
2. Click the Grid view icon at the upper left
3. Click the Week view "small tab" at the left
4. Click on the drop down tab by "Filter" to find the building you want to browse. Once you click on the correct building, click "edit Search Filter."
5. Scroll down to view the room you want.

If you can't find the room that you want, then maybe something in the current filter preventing it.  The steps below show how to set a filter to use all (or most of) the time.  To do this, you MUST be logged in to Ad Astra as a user.  Use your Novell user ID and password in the boxes at the upper right. If you don't know your Novell password, you can reset it at: http://www.carthage.edu/password

Do steps 1-3 above
4. Click the Edit Search Filter button at the upper right
5. Make sure that there are NO keywords specified.  If there are, DELETE them.
6. Make sure the campus is set to MAIN
7. Select the building you want from the drop-down
8. If you want only a specific room, select it from the drop-down
9. Make sure that both the Show Events and Show Sections boxes are checked
10.  Make sure that the Featured Only box is NOT checked
11. Click the View Calendar button.  This will make the filter active, but will NOT save it with a name.
12. To save the filter and name it, click the Manage Filters button.  Name the current filter, and click the Save button.  If this is the first filter you have made, this will become the default filter.  It will be active from now on.  If you want to change that view, you'll need to edit the filter each time and/or create other filters.

We also suggest that you create a filter of all reservable facilities since this is a useful view.  To do so:
Once you are logged in, do steps 1-3 above
4. Click the Edit Search Filter button at the upper right
5. Make sure that there are NO keywords specified.  If there are, DELETE them.
6. Make sure the campus is set to MAIN
7. Select Region (rather than building) in the drop-down below below campus.
8. Select Reservable from the drop-down to the right of Region.
Name the current filter "Reservable", and click the Save button.  You may want to check the Make Default box.
